The Assistant Director of Transportation is responsible for supporting the Director of Transportation in the overall leadership, management, safety, compliance, and operational effectiveness of the School’s transportation program. This position assists all aspects of student transportation, including daily bus routes, athletic and extracurricular transportation, driver management, fleet maintenance, regulatory compliance, budgeting, and transportation-related risk management.
The Assistant Director of Transportation helps ensure the transportation service aligns with and supports the School’s mission by providing safe, reliable, efficient, and customer-focused transportation for students, faculty, staff, and school programs. The position works closely with drivers, school administrators, students, families, and other members of the school’s community to ensure transportation needs are met, effectively and professionally.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Transportation Operations
- Assist in managing the School’s daily transportation operations to ensure safe, reliable, and efficient services.
- Drive bus routes as needed to support operational needs and ensure adequate coverage.
- Develop, implement, and monitor bus routes and transportation schedules.
- Coordinate transportation services for athletic events, field trips, extracurricular activities, and special programs.
- Ensure the efficient use of vehicles, personnel, and other transportation resources.
- Respond promptly and appropriately to transportation emergencies, delays, accidents, and service disruptions.
- Maintain accurate and up-to-date transportation records, reports, and operational documentation.
Safety and Compliance
- Help maintain a strong culture of safety throughout the Transportation Department.
- Ensure compliance with all applicable federal, state, and local transportation laws, regulations, and requirements.
- Assist with compliance related to the Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), Texas Department of Public Safety (DPS), and other applicable regulatory agencies.
- Help develop, implement, and maintain transportation safety procedures, emergency response plans, and accident prevention programs.
- Conduct accident investigations and implement corrective actions, as appropriate and at the direction of the Director of Transportation.
- Ensure all transportation personnel maintain required licenses, certifications, medical clearances, and training.
Personnel Management
- Assist with the training, development, and ongoing support of transportation staff, including bus drivers and transportation coordinators.
- Assist with employee scheduling, timekeeping, leave requests, and staffing coverage.
- Participate in regular staff meetings, safety meetings, and training sessions.
- Promote positive employee relations and foster a collaborative, professional, and team-oriented work environment.
- Provide guidance and support to transportation staff while reinforcing departmental policies, procedures, and safety expectations.
Fleet Management
- Assist with the maintenance, repair, inspection, and replacement of School-owned vehicles.
- Coordinate and monitor preventive maintenance programs to promote vehicle safety, reliability, and operational readiness.
- Monitor vehicle condition, utilization, fuel consumption, and maintenance expenses.
- Maintain accurate and current vehicle records, inspection reports, registration, insurance, licensing, and other required documentation.
- Coordinate with maintenance vendors, repair facilities, and service providers as needed.
- Help ensure all vehicles are properly maintained and available to meet the School’s transportation needs.
Budget and Financial Management
- Assist the Director of Transportation with monitoring departmental expenditure and identifying opportunities to improve efficiency and manage costs.
- Maintain awareness of transportation-related expenses and support responsible use of departmental resources.
- Assist with long-range planning for fleet replacement, vehicle acquisition, and transportation infrastructure needs.
- Provide information and recommendations to support the development and management of the transportation budget.
Customer Service and Communication
- Serve as a point of contact for transportation-related questions and concerns from parents, students, faculty, staff, and administrators.
- Communicate route changes, service updates, schedules, and transportation procedures clearly, professionally, and in a timely manner.
- Address transportation concerns promptly and work to resolve issues in a courteous and service-oriented manner.
- Maintain positive and professional relationships with families, employees, and other School stakeholders.
- Support the School’s commitment to providing exceptional customer service and a positive transportation experience.
Strategic Planning and Continuous Improvement
- Assist in assessing current and future transportation needs and recommend improvements to enhance safety, efficiency, reliability, and service quality.
- Collaborate with the Director of Transportation to develop and implement long-term transportation strategies that support School growth and operational goals.
- Evaluate transportation processes and identify opportunities for continuous improvement.
- Utilize transportation management software and technology to enhance route planning, communication, scheduling, and reporting.
- Stay informed of emerging transportation practices, regulations, and technologies that may benefit the School’s transportation program.
EDUCATION AND QUALIFICATIONS
Education
- Bachelor’s degree in Transportation Management, Business Administration, Operations Management, Logistics, Public Administration, or related field preferred.
- An equivalent combination of education and relevant experience may be considered.
Experience
- Minimum of five (5) years of progressively responsible experience in transportation management or a related field.
- Demonstrated experience supervising transportation personnel and managing daily transportation operations.
- Experience in a school environment, student transportation program, or similar educational setting preferred.
- Experience with fleet management, budgeting, and regulatory compliance preferred.
Licenses and Certifications
- Valid Texas Driver’s License required.
- Commercial Driver’s License (CDL) with Passenger and School Bus endorsements preferred.
- Ability to meet all applicable driver eligibility requirements when operating school vehicles.
- CPR, First Aid, and defensive driving certifications preferred or ability to obtain upon hire.

- Knowledge of transportation operations, routing, fleet management, and logistics.
- Knowledge of applicable federal, state, and local transportation regulations.
- Strong leadership, organizational, and problem-solving skills.

- Strong written and verbal communication skills, with the ability to communicate effectively with a diverse range of individuals.
- Ability to manage multiple priorities and remain calm and effective in emergency situations.
- Proficiency with Microsoft Office Suite and transportation management software.
- Ability to maintain confidentiality and exercise sound judgment and discretion.

Physical Requirements
- Ability to sit, stand, walk, bend, stoop, and lift to 25 pounds.
- Ability to safely inspect buses, vehicles, and transportation facilities.
- Ability to travel between School campuses, transportation facilities, and other locations as needed.
- Ability to work occasional evenings, weekends, and special events as required.
- Ability to respond to transportation-related emergencies and operational needs.
Working Conditions
- Work is performed in a school and transportation environment, with regular exposure to buses, vehicles, maintenance facilities, and varying outdoor weather conditions.
- May involve exposure to vehicle noise, fumes, and other conditions commonly associated with transportation operations.
- Occasional after-hours, evening, and weekend responsibilities may be required.
- Availability to support transportation operations during school events, athletic competitions, field trips, and emergency situations is expected.
