Enrollment Operations Manager
River Oaks Baptist School is seeking a detail-oriented and collaborative Enrollment Operations Manager to join our Enrollment Management team.
This is a key role responsible for overseeing the operational, technical, and data-driven aspects of the admissions and enrollment process while supporting a seamless experience for prospective and current families.
Reporting to the Director of Enrollment Management, the Enrollment Operations Manager serves as the primary steward of enrollment data and manages the school’s Blackbaud systems, ensuring data accuracy, integrity, confidentiality, and alignment across departments. This role also supports enrollment strategy through reporting, analytics, workflow management, and cross-functional collaboration.
This position is ideal for a highly organized and service-oriented professional with strong technical skills, experience managing student information systems, and a passion for supporting students and families in a Christian school environment.
Key Responsibilities:
- Develop a deep understanding of the ROBS mission and programs in order to communicate the value of the ROBS experience to all constituencies, particularly prospective parents.
- Manage the application process from inquiry to enrollment (ex: processing applications, inquiries, building out applicant checklists) and provide on-going support to applicant families throughout the process.
- Manage and maintain the school’s Blackbaud systems (including Admissions, Enrollment Management, and Student Information/CORE modules), ensuring data accuracy, consistency, confidentiality, and compliance with school policies.
- Collaborate closely with enrollment management, business office, development, IT, campus security, nurses, library, Prime Time and academic teams to ensure data alignment across departments and systems, particularly the integration of applicants as they transition to new students.
- Facilitate the enrollment process for returning and new students, creating communications, contracts, workflows, and integrations with the Business Office and Tuition Management.
- Generate reports, dashboards, and enrollment analytics using Blackbaud tools to support forecasting, strategic planning, and decision-making.
- Provide detailed data exports and reports for ongoing enrollment management activities, including the production of weekly, monthly and annual statistical reports, i.e. applications, visitors, attrition, enrollment, etc.
- Conduct data analysis of applicant pool and collaborate with colleagues to identify other areas for research.
- Provide training and support for staff using Blackbaud platforms and serve as a key liaison with Blackbaud support resources as needed. Stay up to date on Blackbaud updates, participating in webinars and other training opportunities.
- Assist with the day-to-day operations of the office by responding to phone calls and email inquiries, entering applicant data, processing documents, and maintaining accurate records in Blackbaud.
- Assist with the planning and execution of all admission events, including testing days, tours, open houses, and new student/parent functions.
- Develop relationships with faculty and staff throughout campus, helping the community understand everyone’s role in enrollment management.
- Support the Director of Enrollment Management in the completion of his/her duties.
- Actively participate in Advancement Council, collaborating with colleagues on the development, admission, and communications teams to contribute to the school’s strategic goals.
- Attend all team, school, and relevant department meetings.
- Be willing to engage in continuous professional development.
- Assist with carpool, lunch, and/or reception desk duty.
- Be on campus from approximately 7:45 a.m. – 4:00 p.m. on school days, with flexibility to work evenings and weekends for event-related activities.
- Perform other duties and responsibilities as assigned.
Qualifications:
- Bachelor’s degree required
- 5+ years of professional experience preferred
- Strong technical aptitude and advanced computer skills
- Experience with Blackbaud or similar student information systems required
- Strong proficiency with Microsoft Office Suite
- Exceptional attention to detail and organizational skills
- Strong analytical, communication, and interpersonal skills
- Ability to manage multiple priorities in a fast-paced environment
- Ability to handle confidential information with discretion
- Self-starter with the ability to work independently and collaboratively
- A vibrant Christian faith and a desire to work in a Christian environment
- Successful completion of background checks and verification
