Facilities Manager
Alcuin School is seeking an experienced Facilities Manager who takes pride in leading from the front and ensuring that every building, system, and outdoor space supports a safe, well-run, and mission-driven school environment. This full-time, exempt leadership role blends strategic oversight with hands-on work, supervising a dedicated facilities team while serving as the School’s point of accountability for maintenance, safety, inspections, vendor coordination, and emergency response across a 12-acre campus. We are looking for a practical, steady leader who values teamwork, operational excellence, and the satisfaction that comes from keeping a complex campus running smoothly every day.
JOB SCOPE
This position provides daily operational leadership and long-range planning for campus facilities and grounds. The Facilities Manager balances strategic oversight with active, hands-on involvement, ensuring facilities-related work is completed efficiently, safely, and in alignment with School priorities, regulatory requirements, and best practices in independent school operations.
ESSENTIAL FUNCTIONS
Leadership & Supervision
- Directly supervises, coaches, and evaluates Maintenance Technicians, including work assignment, scheduling, prioritization, and performance management
- Ensures equitable distribution of work and adequate coverage for daily operations, events, and emergency response
- Provides technical guidance and mentorship to Facilities staff, modeling safety, professionalism, and accountability
- Maintains a collaborative working relationship with the Security Director and Security team to support campus safety and emergency readiness
Facilities & Grounds Management (Hands-On Leadership)
- Oversees and actively participates, as needed, in the maintenance, repair, and upkeep of campus buildings, grounds, systems, and equipment
- Performs hands-on maintenance and repair work when necessary, particularly during emergencies, staff absences, or high-priority situations (weather, power outages, etc.)
- Conducts regular inspections of facilities and grounds to identify safety hazards, maintenance needs, and operational risks
Preventive Maintenance & Capital Support
- Develops, implements, and monitors preventive maintenance programs for buildings, grounds, vehicles, such as school buses, and major equipment, such as HVAC equipment
- Tracks deferred maintenance and recommends priorities to Operations and Finance leadership
- Provides input, coordination, and on-site support for capital projects, renovations, and major repairs, in partnership with the CFO / Associate Head of School for Operations & Finance
Budget & Resource Management
- Manages the facilities operating budget, including forecasting, monitoring expenditures, and controlling costs
- Oversees inventory of tools, equipment, and supplies in accordance with approved purchasing processes
- Recommends cost-effective solutions and long-term investments to support campus needs
Vendor, Contractor & Inspection Coordination
- Serves as the primary point of contact for facilities-related vendors, contractors, and service providers, such as HVAC, cleaning crews, landscapers and janitorial services
- Schedules, oversees, and verifies work performed by external vendors to ensure quality, safety, and minimal disruption to school operations
- Coordinates and supports required inspections by authorized agencies, including but not limited to elevators, fire/life safety systems, health inspections, and other regulatory reviews
Safety, Compliance & Risk Management
- Oversees facilities-related compliance with OSHA standards, asbestos, fire and life safety requirements, and applicable operational regulations
- Partners with the Security Director and Security team on emergency preparedness, inspections, drills, and safety initiatives
- Ensures timely documentation, corrective actions, and follow-up related to safety findings and inspections
- Responds to facilities-related emergencies, including after-hours and weekend situations, as required
Operations & Communication
- Serves as facilities liaison to administrators, faculty, staff, and event coordinators
- Communicates facilities priorities, timelines, and limitations clearly and professionally
- Oversight of buses/support drivers' program
Events, Rentals, Logistics
- Supports facilities logistics for school events, campus moves, and special projects
- Attends after-hours and weekend events as necessary
MARGINAL FUNCTIONS
- Make runs to pick up supplies, parts and tools as needed
- Attend department meetings and assigned events
- Performs any other tasks assigned by the Head of School or Associate Head of School for Finance & Operations
KNOWLEDGE, SKILLS, ABILITIES AND OTHER REQUIREMENTS
Required:
- Ability to provide documents verifying authorization to work in the U.S.
- Must pass Criminal Background Checks and Drug Testing
- Ability to provide documentation verifying authorization to work in the U.S.
- Must successfully pass required criminal background checks and screenings
- Bachelor’s degree or ten (10) years of equivalent experience in facilities management or a related field
- Minimum of five (5) years of demonstrated experience supervising a facilities or maintenance team
- Strong working knowledge of building systems, grounds maintenance, and general repair practices
- Demonstrated ability to lead in a hands-on, operational environment
- Knowledge of OSHA requirements, fire/life safety standards, and facilities-related inspections
- Strong organizational, project management, problem-solving, and decision-making skills
- Effective communication skills with staff, administrators, vendors, and regulatory agencies
- Valid driver’s license
- Basic computer skills, including email and electronic work request systems
- Ability to read, write, and speak English
Preferred:
- Experience in an independent school or educational campus environment
- Bilingual English/Spanish
Job Conditions
- This role requires regular presence on campus and the ability to move throughout buildings and grounds
- The position involves standing, walking, climbing, lifting, and working indoors and outdoors in varying weather conditions
- Availability for after-hours and weekend work is required to respond to emergencies, scheduled repairs, and special events
- Frequently lift up to 50 lbs. of supplies or equipment
- Crawl under or around furniture, fixtures, and other confined spaces to perform maintenance and repairs
- Climb ladders and reach to perform tasks
Pay Range
Pay is based on experience and is competitive with independent schools in the Dallas, Texas, area.
