General Authority

The Parent Engagement and Events Manager serves as a key member of the Ursuline Development and Alumnae Relations team and reports to the Chief Development Officer.

Position Overview

 This full-time exempt position is responsible for strengthening parent engagement through strategic volunteer leadership, oversight of parent organizations, and management of fundraising events.

The position oversees and executes Ursuline's Gala & Auction, Ursuline’s premier fundraising event supporting scholarships, and serves as the primary liaison to the Mothers Club and Dads Club. Working collaboratively with school leadership, the Parent Engagement and Events Manager ensures that volunteer efforts, parent activities, and special events align with Ursuline's mission, strategic priorities, and community engagement goals.

Responsibilities

Parent Volunteer Engagement

  • Serve as the primary staff liaison to the Mothers Club and Dads Club, cultivating strong volunteer leadership and ensuring alignment with Academy priorities.
  • Identify, recruit, and support volunteer leaders and committee members for the Gala & Auction and other strategic volunteer initiatives.
  • Attend and support Mothers Club and Dads Club board meetings, committee meetings, and key events as needed.
  • Provide orientation, training, and ongoing support to volunteer leaders to ensure successful execution of responsibilities.
  • Partner with club leadership on annual planning, goal setting, budgeting, and calendar coordination.
  • Review proposed volunteer activities and events to ensure appropriate use of resources and alignment with Ursuline’s priorities.
  • Foster collaboration among parent organizations, school departments, and volunteer leaders to maximize engagement and reduce duplication of efforts.
  • Develop strategies to increase meaningful parent volunteer participation across all grade levels and areas of school life.
  • Track constituent interactions and volunteer participation data appropriately in Development database

Gala and Event Management

  • Lead planning and execution of Ursuline's Gala & Auction, including volunteer management, sponsorship fulfillment, logistics, communications, budget oversight, and auction operations.
  • Manage event timelines, vendor relationships, contracts, and event technology platforms.
  • Develop and maintain event budgets and monitor financial performance to meet or exceed established goals.
  • Collaborate with Development team members to implement fundraising and stewardship strategies connected to event-based giving.
  • Oversee assigned parent, and community events throughout the year, ensuring a high-quality experience for attendees and alignment with institutional goals.
  • Coordinate event staffing plans, volunteer assignments, and event-day execution.

Communications

  • Collaborate with the Communications Department to develop strategic communications plans that promote event-based fundraising, volunteer engagement, and parent involvement.
  • Regularly contribute content for inclusion in Ursuline publications, marketing materials, emails, social media, and other communication channels.
  • Develop and distribute communications to volunteer leaders, committee members, and parent organizations to support recruitment, training, stewardship, and event execution.
  • Partner with Mothers Club and Dads Club leadership to ensure timely, accurate, and consistent communications.
  • Maintain clear and proactive communication with Ursuline’s leadership, volunteers, vendors, and internal stakeholders throughout the planning and execution of events.

 

Qualifications

  • Bachelor’s degree preferred.
  • Event based fundraising experience, preferably in a nonprofit organization, educational institution, or other business environment. Experience with auction events preferred.
  • Demonstrated ability to collaborate effectively with colleagues and volunteer leaders, developing strong relationships and a spirit of teamwork
  • Strong volunteer management and ability to interact positively with a variety of personalities.
  • Good interpersonal communications skills to effectively interact with a wide range of constituencies.
  • Committed to continuous learning and professional growth, with a proactive approach to developing new skills, embracing feedback, and identifying opportunities for improvement.
  • Strong writing skills; time and project management, organization, and planning skills; ability to be resourceful, proactive, and multitask in a team environment.
  • Attention to detail is essential.
  • Advanced knowledge of MS Office software.
  • Experience working with a constituent database (i.e., Raiser's Edge, etc.) preferred.
