Administrative Assistant: Middle School

 

Annunciation Orthodox School (AOS) seeks a proactive, detail-oriented, and flexible person to be the Administrative Assistant to the Head of Middle School. The Administrative Assistant must be proficient in Google Suite and the use of technology in general. The ideal candidate will support, promote, and execute the middle school’s goals with collaborative spirit, dynamic energy, and a commitment to excellence. Reports to: Head of Middle School          Status: Salaried/Exempt         Start Date: Flexible/no later than July 6, 2026

 

Work Schedule: This is a year-round position, Monday - Friday, 7:30 am to 4:00 pm. The Administrative Assistant is also expected to work some evenings and weekends during the course of the calendar year.

 

Responsibilities:

  • Support the Head of Middle School in all aspects of daily operations, including maintaining the Head’s calendar, scheduling meetings, and other administrative functions
  • Coordinate substitute staffing and class coverage for planned and unplanned middle school faculty absences; this may include late night or early morning communication with faculty and our substitute staffing agency
  • Organize, coordinate, and assist in orchestrating middle school events and field trips through coordination with other departments
  • Gather and organize materials for 8th-grade student high school applications
  • Provide administrative support for the middle school faculty including ordering supplies
  • Maintain the school’s student information database, in close collaboration with the SIS Database Administrator, for all purposes relating to middle school events and information
  • Support the hiring process for middle school faculty candidates
  • Provide daily lunch coverage for the front desk receptionist as well as general coverage when needed
  • Assist with daily carpool management
  • Serve as an enthusiastic, motivated, and kind-hearted advocate for the school’s mission in all communications and interactions across all constituents
  • Other duties as assigned by the Head of Middle School

 

Qualifications:

  • Bachelor’s Degree
  • Strong organizational skills, flexibility, and attention to detail
  • Experience managing data using Google Suite, Microsoft, and other database systems
  • Passion for learning, implementing, and maintaining software and database systems
  • Excellent oral and written communication skills
  • Proven problem-solving and planning skills
  • Ability to work well independently and in collaboration with team members
  • Ability to maintain confidentiality regarding sensitive information
