Position Description:

The Parent Annual Giving Coordinator is an essential part of the Hockaday Fund team, working alongside the Director of Annual Giving and Leadership Gifts and the Annual Giving and Stewardship Coordinator to reach the annual Hockaday Fund goals. The duties listed below involve a wide range of support and management duties and will involve many areas within the Office of Development and External Affairs, as set forth below.

 

Essential Functions:

Essential Hockaday Fund Related Functions:

  • Working alongside the Director of Annual Giving and Leadership Gifts and the Annual Giving and Stewardship Coordinator to reach Hockaday Fund goals
  • Managing the annual Parent Hockaday Fund campaign
  • Managing New Family Events and Stewardship
  • Managing Peer School Outreach
  • Working directly with parents and other constituents to solicit Hockaday Fund donations
  • Coordinating, recruiting, and educating a large number of parent volunteers each school year
  • Coordinating solicitation mailings to parents and other constituents of the School as needed
  • Identifying and coordinating stewardship of parent major gift prospects
  • Making fundraising calls to various constituencies as assigned
  • Coordinating Hockaday Fund reporting as needed by the Office of Development and External Affairs
  • Managing Hockaday Fund related events, including parent volunteer trainings, letter signings, and phonathons.
  • Coordinating in-house direct mail, e-mail, and student philanthropy programs
  • Working alongside the Director of Annual Giving and Leadership Gifts and the Annual Giving and Stewardship Coordinator to coordinate special Hockaday Fund efforts, such as North Texas Giving Day, the spring Green Out Challenge, and other matching campaigns
  • Coordinating parent Hockaday Fund progress tools, including carpool signs and website updates
  • Supporting Hockaday Fund stewardship initiatives, including parent thank you letters, major gift thank you notes, and end of year volunteer gifts
  • Assisting with the tracking of donor pledges, payments, payment schedules, etc., as needed
  • Coordinating Hockaday Fund reporting as needed by the Office of Development
  • Coordinating all communications and correspondence needs related to the parent Hockaday Fund campaign
  • Assisting with requisitions, updating and tracking of the budget, and Hockaday Fund expenses
  • Other administrative support and special project support, as assigned

 

 

 

Essential Stewardship Related Functions:

  • Assisting with details for Development events, including, but not limited to, donor events, Hockaday Fund events, Alumnae events, Grandparents’ Day, Campaign events, and other events managed by the Office of Development and External Affairs
  • Assisting with vendor and budget management, preparation of nametags, preparation of runs of show, and all event related details for a wide array of events
  • Maintaining proficiency in Raiser’s Edge and assist with notes/actions entry to manage donor prospects, pipeline tracking, and stewardship efforts
  • Assisting entire Development and External Affairs Office, as needed
  • Other duties as assigned

 

Qualifications/Experience:

  • Bachelor’s Degree or greater required
  • One to five years Annual Fund and Major Gift fundraising experience preferred
  • Experience in a development office or educational environment a plus
  • Excellent volunteer management skills essential
  • Basic understanding of and ability to use computers and technology, including Microsoft Windows and Office products, basic office equipment, and mechanical equipment
  • Well-developed interpersonal, written, and verbal communication skills, including the ability to communicate effectively with all constituents in a school environment, including students, co-workers, parents, alumnae, volunteers, trustees, and the public
  • Meticulous, organized, self-starter, collegial, team player, able to maintain confidentiality and act with discretion, act in a professional manner, adaptability, honesty, self-reliance, dependability, flexibility, willingness to listen and learn, work ethic, determination, persistence, problem-solving skills, loyalty, and congeniality are essential
  • Must have the ability to work in a school environment through satisfactory completion of all legally required and school-required background and screening checks and verifications, including criminal and sex offender background checks.
  • Demonstrated ability to coordinate multiple projects, to set priorities, to meet deadlines, and to be flexible

Training:

  • Participate in all requisite School trainings prior to the start of the school, and throughout the School year. 
  • Attend required staff development and training sessions throughout the year
  • Attend periodic in-service meetings
  • Acknowledge receipt of the current Employee Handbook and are responsible for reviewing the contents and abiding by rules, policies and procedures stated in the Handbook or otherwise by the School
  • Abide by Hockaday’s Code of Ethics and Conduct
  • Commit to the ideals expressed in Hockaday’s Tenets of Staff Excellence

 

Physical Requirements and Work Environment:

  • Work regularly in a standard-sized office that is climate controlled
  • Regularly use close and distance vision, including working at a computer screen for extended periods of time
  • Work at a desk for extended periods of time
  • Movement around the office can sometimes be limited based on the day’s schedule
  • May be required to lift heavy boxes and move them across campus or within the office
  • Must have flexibility to work some after-hours or weekend events; must be responsive to emails and calls outside of typical work hours, as needed
  • Occasional travel
  • Must be able to work in an occasionally stressful environment and effectively deal with a diverse range of deadlines, a wide variety of challenges and personalities, and a varied and diverse array of contacts with stamina to maintain attention to detail despite interruptions
  • Ability to maintain appropriate boundaries with students, fellow staff and community members
