GENERAL POSITION SUMMARY

The Staff Accountant handles the day-to-day operations of accounting for the school, ensuring process and data validity, completeness and accuracy. This role requires a detail-oriented individual to support the school's mission and ensure financial transparency and compliance.

 

JOB SCOPE

Works independently, but firmly within the procedures established by the Controller and policies, with the ability to meet strict daily, weekly, bi-monthly, monthly, quarterly and annual deadlines expected of an accounting function.

 

ESSENTIAL FUNCTIONS

  • Prepares journal entries accurately and timely ensuring entries are properly classified and recorded.
  • Handles weekly accounts payable processing, including accurate invoice entry, account coding and timely vendor payments.
  • Handles student billing processes, including invoicing, payment processing, and delinquency reporting, to maintain up-to-date financial records.
  • Communicates and resolve outstanding balances in a professional manner.
  • Receives, processes, and deposits payment receipts and gifts, and ensures their proper application to the General Ledger.
  • Prepares payroll journal entry for review in accounting software.
  • Runs monthly reports and post journal entries to reclassify corrections as needed.
  • Prepares annual 1099 reporting process.
  • Manages school credit cards and monthly reconciliation.
  • Completes Quarterly Sales tax reporting and processing.
  • Assists the Controller in preparing for and conducting annual audits, providing necessary financial documentation.
  • Maintains General Ledger and all subsidiary ledgers using Generally Accepted Accounting Procedures (GAAP).
  • Processes all month-end and year-end General Ledger closings for investment accounts.
  • Provides schedules of account analysis and other periodic and year-end closing data as needed and as required for outside auditors.
  • Collaborates with the development team to generate and deliver financial data reports to support fundraising and development initiatives.
  • Helps identify process improvements to improve accounting accuracy and efficiency
  • Maintains comprehensive up-to-date accounting policies and procedures for the Business Office.

 

MARGINAL FUNCTIONS

  • Stays updated with federal, state, and local financial regulations, especially those pertaining to non-profit organizations.
  • Attends school functions and meetings as outlined in the Employee Handbook, employment contract or as required.
  • Supervises children during carpool as needed.
  • Other tasks as required to assure the smooth operation of the Business Office

 

KNOWLEDGE, SKILLS, ABILITIES AND OTHER REQUIREMENTS

Required:

  • Ability to provide documents verifying authorization to work in the U.S.
  • Must pass Criminal Background Checks, reference checks and Drug Testing
  • Bachelor’s degree in Accounting or Finance
  • 3-years accounting experience with demonstrated advancement in responsibilities
  • Ability to maintain confidentiality and exercise discretion
  • Working knowledge of GAAP
  • High degree of proficiency with the Microsoft Office suite of products, and familiarity with comprehensive accounting software systems
  • Ability to organize complex sets of information and present ideas and numbers clearly (written and verbal)
  • Attention to detail and organizational skills are critical
  • Ability to interact and communicate appropriately and professionally, as a team player, with parents, students, and colleagues

Preferred:

  • Not-for-Profit fund experience
  • Experience with the Blackbaud suite of non-profit accounting and fundraising products or other Enterprise Resource Planning Software (e.g. SAP, Oracle, Senior Systems)
