Position Overview

The Upper School Enrollment Officer is responsible for assisting the Enrollment and Financial Aid Team in the day-to-day operations of the Enrollment office from point of inquiry through matriculation and retention. This position helps plan and ensure the success of several special events each school year (including some evenings and weekends). The US Enrollment Officer is responsible for overseeing the online admissions process for our prospective families, data processing, entry, and acknowledgement/maintaining the integrity and accuracy of data; producing and analyzing reports and queries; resolving technical issues, and assisting staff in working with and using data. Additionally, this position helps design recruitment materials and promotes the school’s mission, image, and core values by being an ambassador for the school at all times.

The position is hired and evaluated by the Director of Enrollment Management and Financial Aid and is a full-time, salaried exempt position that will work 12 months of the year.

Duties & Responsibilities

  • Manages day-to-day operations of the Upper School admissions process (grades 9-12), serving as the primary administrative lead under the direction of the Director of Enrollment Management and Financial Aid. Also aligns all duties with the Lower and Middle School divisions to ensure a cohesive enrollment process across divisions.
  • Serves as the primary point of contact for prospective Upper School families, providing information and guidance about the school and admissions process through phone, email, and in-person communication.
  • Oversees completion of the Upper School application process by managing applicant checklists in Blackbaud, receiving and organizing all required documentation, and coordinating in-person components.
  • Plans and leads Upper School admissions events, including Campus Tours, Shadow Visits, Future Warrior Nights, and ISEE Test Preparation Workshops, as well as ISEE administration
  • Conducts individual campus tours of the Upper School for prospective families unable to attend scheduled, student-led events. This can include walk-in tours.
  • Staff Upper School recruitment events, including high school fairs and community outreach programs to promote the school to prospective families.
  • Collaborates with the Communications team to develop admissions collateral, provide input on content needs, and organize materials for distribution at recruitment events for all divisions
  • Manages the Student Ambassador program, including recruitment, interviewing and selecting candidates, training new ambassadors, and coordinating ambassador assignments for admissions events throughout the academic year.
  • Plans and administers two on-campus ISEE testing sessions annually, including coordinating with ERB on all organizational details, recruiting and training volunteer proctors, and preparing all testing materials and logistics.
  • Coordinates review of confidential learning differences and accommodations documentation for applicants, managing all related application materials and collaborating with the Student Support Team to ensure thorough evaluation.
  • Serves on the Admission Committee, preparing meeting agendas, updating the master spreadsheet, and providing evaluative feedback on each Upper School applicant under review.
  • Manages admissions appeal process, including distributing appeal guidelines to families, collecting and organizing submitted materials, and presenting appeals to the admissions committee for review.
  • Manages initial enrollment process, including distributing admissions decisions, tracking family responses, and creating and processing enrollment contracts.
  • Serves as Designated School Official (DSO) for upper school, managing all ongoing SEVIS and visa documentation for international students.
  • Generates and reviews admissions and enrollment data reports, maintaining a dashboard that provides the team with key metrics and application trends at a glance.
  • Reviews and updates application checklist and associated documentation annually to ensure accuracy and relevance for each admissions cycle. Such effort is done in alignment with Lower and Middle School application checklists.
  • Designs and procures admissions promotional materials, including branded apparel and merchandise for prospective students and admissions volunteers.
  • Assists in other areas of the school, including Lower and Middle School, as needed.

 

Minimum Qualifications and Skills

  • A Bachelor’s degree in a related field.
  • 2-5 years of experience in admissions, marketing, special events, sales or communications.
  • Excellent organizational, management, communication, and critical thinking skills and abilities.
  • Attention to detail and ability to handle multiple tasks simultaneously and work independently.
  • Proficient in all Google and Microsoft Office products and have an ability to learn new software programs with ease and confidence.
  • Skilled in generating, analyzing, and interpreting reports.
  • Able to work well with others in the school community.
  • Able to present information effectively and respond to questions from diverse groups including: the Head of School, faculty, parents, Board members and individuals from the community.
  • Specific software experience, such as Blackbaud, Canva, and FACTS, is preferred.
